Three Things to Think About Before Booking Your Wedding Entertainment

We love a Spotify playlist, but really, nothing beats live music at a wedding. A great live musician will change how a room feels rather than just filling the silence. Music sets the pace of the day in ways people often only notice in hindsight.

The key to choosing the best performers for your day is knowing why you want them there and where they’ll actually add something. Before you start booking, there are a few essentials worth thinking about:

1. What role do you want music to play?

Not every wedding needs a band blasting for eight hours straight. Some couples want music to play quietly in the background. Others want it to drive the entire day and keep the dancefloor full until the lights come up. Most fall somewhere in between.

Before you book anything, be honest about what matters to you rather than what looks good on paper. Ask yourself a few simple questions:

🎵 Do you want something live during the ceremony, or would a single track played at the right moment do the job just as well?
🎵 Is your priority atmosphere, energy, or giving people a clear invitation to get up and dance?
🎵 What kind of music do you actually connect with? That might be emo or alt, stripped back acoustic versions of songs you already love, classical arrangements, indie, folk, or something that does not fit neatly into a genre box at all.

It is also worth thinking about where live music will have the most impact. If budget is tight, look for performers who can cover more than one part of the day. A band where a couple of members can play something acoustic during the ceremony and drinks, then regroup for a full evening set, often works out more cost effective than booking multiple separate acts.

2. Can they adapt to the room, not just the playlist?

This is where live music really earns its place. Good musicians do not just play songs. They read people, timing, and atmosphere.

That might mean slowing things down when the room needs breathing space, letting conversations happen and giving guests a moment to settle. It might mean knowing exactly when to drop a banger, and which banger will actually land with this crowd, to lift the energy without forcing it. It might mean switching genres entirely when it becomes clear what is working and what is not.

A rigid set list can work for a concert but weddings need something looser. Ask performers how they handle different parts of the day. Can they move from ceremony to drinks to dinner without it feeling disjointed? Are they comfortable adjusting on the fly if timings slip, speeches run long, or the crowd shifts in an unexpected direction?

The best live acts understand that weddings are unpredictable by nature. People arrive in different moods. Weather changes plans. Timelines stretch. Some of the most memorable moments happen by accident. Musicians who are confident in that environment tend to elevate the experience rather than compete with it.

3. Logistics matter more than you think

Live music is not just about taste. It is practical, technical, and logistical in ways couples often underestimate.

Before you commit to anything, check the basics carefully. How much space do the musicians need? What sound equipment do they bring with them? Does your venue have restrictions on volume, power supply, or setup times? Are there noise curfews or neighbours to consider?

Just as important is asking what their backup plan looks like. What happens if a piece of equipment fails? What if a performer is taken ill? What if weather affects an outdoor setup?

Professional musicians will already be thinking about these questions and they should be answered in your contract anyway, but it doesn’t hurt to ask for clarification before you book. They should automatically let you know what they need from the venue in terms of space, sound checks and setup etc too. This is part of what you are paying for with professional performers. You should not have to be troubleshooting microphones or extension leads on your wedding day!
